Resources for Chapter Leaders

Support for Chapters

Chapter Events

TXAEYC is here to support chapters in planning and executing successful events that meet the needs of TXAEYC members and early childhood professionals. TXAEYC can provide chapters with administrative support for their events, including registration, payments, promotion, and vendor contracts.

Event Registration

TXAEYC can set-up and manage online registration for your events, trainings, and conference. We have a few registration platforms that we use depending on the size and complexities of the event. We can set-up registration for events that are free or that require a registration fee.

Registration Fees

When TXAEYC set-ups the registration platform for your events, we can enable the option for participants to pay registration fees via credit card. There are fees associated with processing credit card payments. These fees will be deducted from the registration fees that the chapter receives. Additionally, attendees can mail checks to TXAEYC. Checks should be sent to PO Box 4997, Austin, TX 78765. Please ask attendees to include the chapter name in the check memo.

Speakers and Venues

TXAEYC is happy to provide recommendations on speakers and venues. If a contract is required for a speaker or venue (regardless of the amount), the contract must be signed by TXAEYC. Please contact Greg Davis at [email protected] if you need assistance.

 

Communication and Outreach

TXAEYC can provide a variety of communication services to chapters, including:

  • Access to a list of members in your focus area
  • Assistance with brand guidelines questions
  • Design marketing emails, flyers, or social media posts
  • Help with sending emails about your chapter’s activities
  • Add to the texasaeyc.org event calendar

 

Financial Management

TXAEYC’s Governing Board serves as the fiduciary for all chapter funds. TXAEYC manages chapter funds in accordance with our TXAEYC Accounting Manual.

Chapter Budgets

Every chapter must submit a budget at the beginning of each fiscal year. The TXAEYC CFO will provide a template, and support will be available upon request. Budgets are typically due in May.

Financial Reports

Financial statements will be sent to all Chapters quarterly. If you need financial information sooner, please provide TXAEYC with two weeks’ notice.

Chapter Credit Cards

TXAEYC uses Divvy, an expense management tool, to track and reimburse expenses. Once a budget is submitted and approved by the Board, a Divvy card can be issued to Chapter leadership. Only one card will be issued to a chapter. If there is a change in the chapter leader who should be assigned the credit card, please contact TXAEYC and a new credit card will be issued.
