Position Summary

The Bookkeeper is a critical part-time role dedicated to maintaining the financial accuracy and integrity of TXAEYC. This position manages the organization’s daily financial transactions, ensuring that all records are up-to-date, compliant, and transparent. By handling the detailed financial legwork, the Bookkeeper allows the Executive Director and program staff to focus on strategic growth and mission delivery. This role requires a meticulous professional with a strong grasp of nonprofit accounting principles and the ability to work independently.

Key Responsibilities

Financial Management & Transaction Processing

  • Manage day-to-day financial operations, including accounts payable (A/P) and accounts receivable (A/R).
  • Process invoices, expense reports, and reimbursement requests in a timely and accurate manner.
  • Record all financial transactions in the accounting system, ensuring proper coding to grants, programs, and department budgets.
  • Reconcile bank statements, credit card statements, and merchant accounts monthly.

Reporting & Compliance

  • Maintain and update the organization’s financial records using QuickBooks, Bill.com, and Divvy (or current accounting software).
  • Prepare monthly, quarterly, and annual financial reports (balance sheets, profit & loss statements) for review by the Executive Director and Board of Directors.
  • Assist in tracking grant expenditures to ensure funds are used in accordance with funder requirements.
  • Support the Executive Director with annual budget preparation and periodic budget-to-actual variance analysis.

Audit & Tax Support

  • Serve as the primary internal contact for the annual financial audit, preparing schedules and providing documentation as requested by external auditors.
  • Assist with the preparation of the annual IRS Form 990 and other required tax filings.
  • Maintain an organized digital and physical filing system for all financial documents in accordance with document retention policies.
  • Ensure compliance with federal, state, and local financial regulations.

Qualifications

  • Experience: Minimum of 3-5 years of full-charge bookkeeping experience. Experience working with nonprofit organizations and grant accounting is highly preferred.
  • Education: Associate’s degree in Accounting, Finance, or Business Administration (or equivalent professional certification/experience).
  • Skills:
    • Advanced proficiency in QuickBooks (Online or Desktop) and Microsoft Excel.
    • Strong understanding of Generally Accepted Accounting Principles (GAAP), specifically for nonprofits.
    • High level of accuracy and attention to detail.
    • Ability to maintain strict confidentiality regarding financial matters.
    • Strong organizational and time-management skills to manage deadlines effectively in a part-time capacity.
