Relationships with vendors are vital to many of our projects and programs. TXAEYC relies on the goods and services provided by a variety of vendors to execute our mission and support the early childhood field.

TXAEYC promotes fair and open competition among vendors to procure quality goods and services at the best price available with the goal of utilizing our resources responsibly and efficiently. All interested and qualified vendors of materials, supplies, or services are encouraged to participate in procurement activities conducted by TXAEYC.

Open Solicitations

TXAEYC seeks qualified IT service providers to manage and maintain TXAEYC’s IT infrastructure, including hardware, software suites, and cybersecurity measures while also aligning with our objectives to enhance efficiency, reduce costs, and improve organizational performance.

Q&A:

What kind of IT services are we looking for?
We need a provider who can manage everything from hardware and software setup/acquisition to cloud services, cybersecurity, help desk support, and VOIP. Our key software includes Microsoft 365, Windows, Adobe Acrobat Pro, FileMaker, Canva, Constant Contact, Apricot CRM, QuickBooks, and Paychex.

What will the IT provider need to deliver?
The main deliverables include detailed IT service specifications, cost breakdowns, downtime expectations, user training if needed, and support during the initial transition period.

How will progress be communicated and reported?
We’ll need regular status updates, cost-saving reviews of invoices, and timely responses to any inquiries or requests from our Director of Operations.

What are the project timeline and contract terms?
The contract starts in early March 2025, with ongoing issue reporting and annual reviews of user accounts and licenses. The initial term for services will be for 1 year, with two optional renewal periods of one (1) year each. Renewal terms are dependent on the overall value across all contract terms.

How do vendors submit their proposals?
Interested vendors can email their quotes to Greg Davis at [email protected]. We’ll be accepting submissions from January 31, 2025, through February 7, 2025.
